Managing Leads in the Mobile App FAQ

You can manage your leads easily through our mobile app InCom Connect, available on iOS and Android

Lead Management Options Available through InCom Connect

How do I create leads?

  1. Go to the Leads tab
  2. Tap on the + icon
  3. Fill in Lead Profile details and Property Preferences (if applicable)
  4. Tap on Save

How do I sort my leads?

  1. Go to the Leads tab
  2. Tap on the sort icon with the two arrows next to Leads on the top of the screen
  3. Select the criteria to sort your leads
  4. You can sort your leads by: Date Created, Date Updated, Last Visit, Lead Name A-Z, Lead Name Z-A

How to I view or edit lead details?

  1. Find the Lead
  2. Go to the Leads tab
  3. Tap on the Lead card to access the Lead Profile page
Options available at the top of the Lead Profile:
  1. Activity Log – allows you to see the activities of the lead
  2. Messages – allows you to send texts and emails directly from the lead profile
  3. Call – enables you to call the lead directly from the app or your phone
  4. Tasks – enables you to create and manage tasks related to the lead Options available under the More menu:

  6. Notes – allows you to create and manage notes related to the lead
  7. Saved Searches – allows you to create or manage saved searches
  8. Listings – allows you to see the leads Saved and Viewed Listings
  9. Notification Settings – allows you to manage the leads automatic greetings: Birthday, Purchase Anniversaries, Sale Anniversaries, Wedding Anniversaries.
  10. Reassign Lead – allows you to transfer the lead to another agent in your office (if applicable)
  11. Lead Submissions - find details for any forms a lead has submitted
  12. Edit -  change key lead details such as:
    1. Name
    2. Email
    3. Phone or cell number
    4. Address
    5. Company
    6. Birthday
    7. Category
    8. Pipeline Stage
    9. Anniversaries
    10. Preferences for properties
    11. Area
    12. Property Type
    13. Price
    14. Square Footage
    15. Bedrooms/Bathrooms

How do I delete leads?

  1. Go to Leads tab
    1. Option 1: Swipe left on the lead card -> Tap on the trash icon -> Tap Delete
    2. Option 2: Open the lead profile by tapping on the lead card -> Tap Edit -> scroll to the bottom of the screen -> Tap Delete Lead -> Tap Delete
Warning
Deleting a lead will delete all the associated messages and tasks.

How can I change details for multiple leads?

  1. Go to the Leads tab
  2. Tap on (...) icon
  3. Tap on Select Leads
  4. Select the leads you want
  5. Choose one of the available actions:
    1. Delete
    2. Mass message
    3. Assign a category
    4. Edit Pipeline Stage
    5. Unsubscribe From Messages
    6. Edit Heat

How do I manage lead notifications?

  1. Access the lead Notification Settings:
  2. Go to the Leads tab
  3. Tap on one of the leads to open the lead profile
    1. Option 1: tap on the More icon at the top and select Notification Settings
    2. Option 2: scroll to the bottom of your screen and tap on Notification Settings
To make changes to the Notification Settings:
  1. Tap on Edit at the top right corner
  2. Tap the toggle to enable each Automatic Greeting

How do I Create and Delete Categories?

To create categories

  1. Go to the the leads tab, click ... in the top right then select Manage Categories
  2. Press the + button
  3. name the category, then press save

To delete one category

  1. Go to the Leads tab
  2. Tap on the (...) icon at the top right
  3. Tap Manage Categories
  4. Swipe left on the category's card
  5. Tap on the trash icon
  6. Tap Delete

Delete multiple categories

  1. Go to the Leads tab
  2. Tap on the (...) icon at the top right
  3. Tap Manage Categories
  4. Tap on the (...) icon at the top right
  5. Tap Select Categories
  6. Select the categories you want to delete
  7. Tap on Delete
  8. Tap on Done when you are finished
Notes
Global categories with the no-editing icon cannot be deleted.

How can I save searches using filters?

Saved filters allow you to search the same search over and over.
  1. Go to the Leads tab
  2. Tap on the filter icon
  3. Select the filters you want
  4. Tap on Save Filter
  5. Type the title for your filter
  6. Tap Save

How do I manage existing saved filters?

  1. Go to the Leads tab
  2. Tap on the filter icon
  3. Tap on Saved Filter
  4. To edit: Tap on one of the saved filters, tap on (...), tap on Edit
  5. To clone: Tap on one of the saved filters, tap on (...), tap on Clone
  6. To delete: Swipe left on a card to delete a saved filter, tap on the trash icon

Can I send mass messages from the lead book?

  1. Go to the Leads tab
  2. Tap on (...) icon
  3. Tap on Mass Message
  4. Choose between Email and Text Message
  5. Select the leads you want to send the message to
  6. Tap on Next
  7. Compose your message
  8. Tap the send icon
  9. Choose to send the message immediately by selecting Send now, or schedule it for later by choosing Schedule send
    1. Scheduling a message:
      1. Set the Start Date & Time for when you want the first message to be sent out
      2. Select the Frequency at which you want this message to be sent out
      3. Set the End Date & Time for when you want the last message to be sent out (if applicable.)

A Twilio account is required for sending and receiving text messages using InCom Connect.
