Adding Leads to Your Lead Book

Uploading leads to your InCom CRM helps you keep track of potential clients and streamline your follow-up efforts. Whether you're adding individual leads as they come in or uploading an entire list of prospects from another platform, we've got you covered. This guide will walk you through both methods so you can easily populate your CRM and start engaging with your leads. Let's dive in!


Uploading Leads One by One

To add leads individually, follow these steps:
  1. Log in to your InCom website, then navigate to Visitors > Lead Book.
  2. Click the + Add New button at the top of the Lead Book. This will open a form where you can input details for your lead or prospect.
  3. You will see various fields where you can add details like the lead's name, email, phone number, etc. Only the fields marked with a red asterisk (*) are required.
  4. Be careful when selecting the Lead Category. This is important because the category determines which, if any, drip campaigns will be automatically applied to the lead. Your website typically has active campaigns for categories like Buyers, Sellers, or Buyer & Seller. Make sure to choose the category that best fits your prospect.
  5. Once you’re done entering the details, click Save to add the lead to your CRM.

Bulk Uploading Leads via CSV

For larger imports, you can bulk upload a CSV file containing your leads. Here’s how to do it:
  1. Navigate to Visitors > Lead Book, and on the right-hand side of the screen, select Bulk Upload.
Before uploading your file, you might want to review the Sample File for Bulk Upload to see what kind of fields and formats the InCom CRM supports.
  1. When your CSV file is ready, click Choose File to locate the file on your computer, and then select Upload, then Next.
  2. You’ll see a preview of the first few rows of leads from your CSV file. For each column, click the Select Field dropdown and match the fields from your CSV (like First Name, Email, etc.) to the corresponding CRM fields. If a column doesn’t apply, you can either leave it on Select Field or choose IGNORE.

  1. Before completing the bulk upload, you’ll need to make the following selections to all leads in the list. This includes:
    1. Lead Category
    2. Lead Stat
    3. Lead Heat
    4. Lead Source
    5. Pipeline Stage
    6. Set Drip Campaign Status
If you don’t want these leads to automatically enter drip campaigns, make sure to leave the Drip Campaign Status as Inactive. This can always be changed later if needed.

If your CSV file has a header row (like "First Name", "Email"), make sure to check the box labeled Don't Upload First Line. This ensures the header row doesn’t get imported as a lead.
In the InCom CRM, an email address is mandatory for every lead. If you have leads without emails, they will not be uploaded. To get around this, you can use placeholder emails like "lead1@email.com" just to ensure they’re included in the system.
After everything is matched and reviewed, click Submit to finish the bulk upload.
The time it takes to process will depend on the number of leads being uploaded.
